What to Have Organized in Your Books Before the Month Gets Away From You

A practical monthly bookkeeping checklist for small business owners in Matthews, NC. Covers bank reconciliation, open invoices, expense categories, and profit and loss review so nothing slips through the cracks.

Running a small business is a lot. You're handling clients, managing operations, chasing invoices, and somewhere in the middle of all that, your books are sitting in a state you'd rather not think about.

The problem isn't that business owners don't care about their finances. Most do. It's that bookkeeping feels like one of those things you can push to the weekend, and then the weekend comes and goes and it still hasn't happened.

So here's a practical look at what you should have organized at the end of every month, before things stack up into something nobody wants to untangle.

Bank and credit card reconciliation

Start with your accounts. Pull your statements and go line by line. Every transaction should be accounted for, categorized correctly, and add up to what you actually spent and received.

If you're still mixing personal and business expenses through the same account, that's the first thing worth changing. It slows down reconciliation and tends to create real problems when tax season comes around.

Open invoices and accounts receivable

Pull a list of who owes you money and how long they've owed it. An aging report, which is just a breakdown of unpaid invoices sorted by how overdue they are, makes this easy to see at a glance.

Honestly, most small business owners have at least one invoice sitting past 30 days that nobody's followed up on. Monthly reviews catch those before they turn into 60-day or 90-day problems.

Expense categories

Every expense should have a home. Software subscriptions go here, supplies go there, meals and vehicle costs go somewhere else. The categories matter because they're what tell you where your money actually goes, and they're what makes your year-end reporting accurate instead of chaotic.

When expenses are categorized every single month, you can spot trends, notice when costs creep up, and make decisions based on real numbers. When they're not, you're guessing.

A quick profit and loss review

You don't need an accounting background to read a basic P&L. At the end of each month, you want to know three things: what came in, what went out, and what's left. That's it.

If revenue looks strong but profit is flat, something in your expenses shifted. If revenue dipped, you want to know that now, not two months from now when cash flow is already feeling it. A monthly check takes less than 20 minutes when the books are current.

Payroll and contractor records

If you pay employees or work with contractors regularly, make sure those records are accurate before payroll processes. Confirm hours, verify 1099 eligibility for any contractors, and keep everything organized in one place.

This is the kind of thing that seems easy to skip in the moment but creates real headaches when year-end arrives and records don't match up.

What happens when you skip months

Missing one month of reconciliation is manageable. Miss two or three and you've got a backlog that takes real time to sort out. Transactions get matched to the wrong category, expenses blur together, and suddenly you're spending hours trying to figure out what happened back in July.

The time it takes to stay current is small. The time it takes to catch up is not. And if you bring someone in to clean it up after the fact, that costs real money too.
